1. Who We Are

LetsMes Co., Ltd is generally the data controller responsible for personal data processed through MyJob Agents. In limited circumstances where we process personal data solely on behalf of another organization, we may act as a data processor as described in the applicable agreement. Children's Privacy

MyJob Agents is intended for individuals who are at least 18 years old and have reached the applicable age of legal majority. We do not knowingly collect personal data from children through the Service. If you believe a child has provided us with personal data, please contact us at support@myjobagents.com.

2. Information We Collect

We collect the information needed to provide, secure, and improve the MyJob Agents service. This includes:

  • Account Data: name, email address, Google account identifiers, and profile information you provide when creating or updating your account.
  • Career Data: CVs/resumes, work history, education, skills, job preferences, target roles, salary expectations, desired locations, and related profile information.
  • Application Data: jobs you save or apply to, application status, generated CVs, cover letters, autofill data, and related employment-search records.
  • Usage and Technical Data: IP address, device and browser information, product events, logs, crash reports, extension interactions, and information needed to operate the Service securely and reliably.
  • Payment Data: subscription status, transaction identifiers, and billing information provided to our international payment processor Dodo Payments (acting as Merchant of Record). Card details are not stored by us.

We also process information you provide through the Chrome extension in relation to supported job application pages, including the page URL, job information presented on the page, and the form fields you choose to populate or review.

3. How We Use Your Information

We use your data to:

  • create and manage your account;
  • provide core job-search features, CV tailoring, generated cover letters, and application assistance;
  • operate our product, support, diagnostics, and security systems;
  • process payments and maintain billing records;
  • analyze product usage to improve reliability, UX, and service quality;
  • comply with applicable legal obligations and prevent fraud or misuse.

4. Legal Basis for Processing

We process personal data based on the most appropriate lawful basis under applicable law, including:

  • Contract: to provide the Service and fulfill our commitments to you.
  • Consent: for optional cookies, analytics, and other optional features where required.
  • Legitimate interests: to secure the Service, prevent abuse, maintain product quality, and improve the user experience.
  • Legal obligations: where required by law, tax, or payment rules.

5. AI and Large Language Models

MyJob Agents uses AI to help tailor CVs, generate cover letters, and support application workflows. We use technical safeguards, including PII redaction where appropriate, to reduce the exposure of sensitive personal information before it is sent to external AI providers.

Information necessary to provide an AI-powered feature may still be sent to our AI providers for processing. We select and configure AI providers so that personal data submitted through MyJob Agents is not used by those providers for general model training, except where you expressly authorize otherwise. We do not sell your personal information to third parties.

6. Chrome Extension Data and Limited Use

When you activate the MyJob Agents Chrome extension on a supported job application page, the extension may access only the information necessary to provide its disclosed functionality, such as the page URL, job information presented on the page, and relevant application form fields.

The extension is designed to assist with application autofill and related job-search tasks. It does not collect your general browsing history or monitor unrelated websites. Data accessed through the extension is used only to provide the stated features, maintain security and reliability, and comply with applicable law.

We use Chrome APIs in accordance with the Chrome Web Store User Data Policy, including its limited-use requirements, and we only collect and process extension data where reasonably necessary for the disclosed feature.

7. Sharing with Third Parties

We share data with service providers as needed to operate the Service, including cloud hosting, analytics, AI processing, and payment processing. Examples include:

  • Cloud and infrastructure providers: to host our application, databases, and backups.
  • AI providers: to help generate tailored CVs, cover letters, and job-support outputs.
  • Analytics providers: for product analytics and diagnostics, where consent is obtained where required.
  • Payment processor (Dodo Payments): to process subscriptions, invoicing, and billing securely under PCI-DSS compliance.
  • Third-party job platforms: when you use Application Autofill or Assisted Apply features to transmit profile or application data to a job board or application form.

We do not sell your personal data. We may disclose personal data where required by law, to enforce our policies, or to protect the safety of users and the Service.

8. Retention and Deletion

We retain personal data for as long as necessary to provide the Service, maintain account functionality, comply with legal obligations, and protect against fraud or abuse. In general:

  • Account and profile data: retained while your account remains active or as otherwise necessary to provide the Service.
  • CVs, cover letters, and other user-generated documents: retained while your account remains active and may be deleted when you delete them or close your account, subject to backups and any legal retention requirements.
  • Application history and job records: kept as reasonably necessary for user experience, service operation, fraud prevention, and legal records.
  • Backups and system logs: retained for a limited period and then securely deleted or anonymized.

You may delete your account or certain content through the Service. If you request deletion, we will process your request promptly, subject to applicable legal obligations, fraud-prevention requirements, dispute resolution needs, and our normal backup retention cycle.

9. Cookies and Analytics

We use essential cookies to maintain your session and security. We may also use analytics tools with your consent to understand product usage and improve the Service. You may control cookies through your browser settings and the consent controls available on the Service where applicable.

10. Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect your information, including encrypted transmission, secure hosting, restricted access controls, and monitoring of system integrity. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Your Rights

  • Access: request a copy of the personal data we hold about you.

  • Objection: object to certain processing activities, including some marketing and analytics uses.

Your data may be processed outside your home country, including in Vietnam or other countries where our service providers operate. When we transfer data internationally, we take commercially reasonable steps to protect it using appropriate safeguards consistent with applicable data protection law.
